Every intranet comes with a collection of default email templates ready to be sent, and there are some triggers that automatically send the emails.
Looking for the email templates?: You will need the System Manager permission. Go to Actions > Configure. From here, navigate to Users and select Manage Email Templates. Here you can edit the existing templates and add new ones.
Default templates
Template: Invitation
Sent to: Users with no credentials, or password-less native credentials (username and password)
Triggers:
- An admin creates a new user from the Manage Users menu and clicks Send Invitation
- A bulk user import creates new users without credentials, with Send Welcome Email set to Yes in the Advanced Batch Spreadsheet
Template: Account Reminder
Sent to: Users who have credentials but have never logged in
Triggers:
- An admin clicks the Send Account Reminders button from the Manage Users menu. This is not automatic and is always manually triggered by an admin
Template: Entra ID (Formerly Active Directory) Welcome
Sent to: Users with an Entra ID credential who have never logged in
Triggers:
- To trigger emails using the Send AD Welcome bulk action, you must first enable the corresponding toggle in your OIS and SCIM User Provisioning setup
- Potentially triggered automatically after an AD sync creates new AD-credentialed users
Template: Complete Sign In (Pairing Link)
Sent to: Active users with the Device Access permission
Sent when: pairing links have been enabled in the intranet
Triggers:
- When a user taps Send me a link on the mobile app pairing screen
- When an admin manually sends a pairing email (Configure > Email Templates > Send Now > Select Users)
Template: Complete Sign In (with code)
Sent to: Active users with the Device Access permission
Sent when: pairing codes have been enabled in the intranet
Triggers:
- When a user taps Send me the code on the mobile app pairing screen
- When an admin manually sends a pairing email (Configure > Email Templates > Send Now > Select Users)
