As your organisation's policies change, some absence types or reason codes may no longer be needed.
You can hide absence types and reason codes so people can no longer choose them. In some cases, you can delete them completely.
This guide will walk you through disabling and removing absence types and reason codes.
This guide covers:
Before you start:
- The Absence application must be switched on.
- You need the Absence Configuration Manager permission at the main business level
Inactivating or deleting absence types
- Go to the Actions button > Configure, then under Absences select Absence types. The absence types are listed with how many reasons each has and a toggle to turn them on or off.
- To inactivate an absence type, slide its toggle to the left.
- Some absence types can't be deleted:
- A padlock to the left of the name means the absence type can't be removed.
- A pencil to the right of the name means it can be deleted, but only if no one has ever used it. If it has been used, the delete option is greyed out with the message This absence type has been used and cannot be deleted.
- To check whether you can delete an absence type, select its name.
- Select Delete, then select Yes to confirm.
Inactivating reason codes
- Select the name of the absence type to see its reason codes.
- Slide the toggle next to a reason code to the left to disable and hide it.
- You can only delete a reason code if it has been added but not yet saved. Once a reason code has been saved, you can only disable it.
