Once the Absence application is switched on, people can start booking time off. For it to work properly, you also need to give the right people permission to manage it.
The Absence application has three security roles: Administrators, Role Managers and Report Managers. You assign these at company level, and they control who can configure absences, assign approvers and run reports.
This guide will walk you through assigning the absence security permissions.
This guide covers:
Before you start:
- The Absence application must be switched on from your Applications list.
- You need the Manage Security permission at the main business level.
Assigning the absence security permissions
- From your main company homepage, select the Page Options icon (3 vertical dots) then select Manage security/permissions.
- If you have Simplified Permissions enabled, click into Advanced.
-
Select Absences from the list on the left. The three absence security roles will show.
- Select the pencil icon within the security role to assign people.
- Search for the people or user groups you want to assign. You can choose more than one. Select Confirm. A banner will appear under the breadcrumb to confirm your change.
- Repeat for Role Managers and Report Managers.
Considerations, tips & guidance
- Use user groups: assigning permissions to user groups rather than individuals makes your site easier to manage when people change roles.
- Role Managers can assign approvers: the Role Managers permission gives access to Actions button > Configure > Absences > Roles & Responsibilities, where approvers are set for each area. See How to configure the approval process for absence.
- Set up working patterns next: absences work hand in hand with working patterns.
