Celebrate great work and give your team the recognition they deserve with the Employee Recognition applet.
Employees can send shout-outs to individuals or teams across Oak, making it easy to recognise achievements and share wins with everyone.
Add the applet to any homepage and customise it with recognition categories that suit your organisation. When someone is recognised, they'll receive a notification and their shout-out will appear in the applet for others to see. Colleagues can also like and comment on recognitions, helping build engagement, boost morale, and encourage a culture of appreciation.
This guide covers:
Before you begin:
- You will need to be assigned a System Manager to enable recognition in your intranet
- You will need to be assigned the Homepage Manager of the area you are adding the applet
Adding and configuring the applet
- Enable the application in Site Settings. Go to Actions > Configure > Site Settings, then select Applications. Find the application in the list and toggle it on. Click OK at the bottom of the page to save your changes.
Note: If the application does not appear in your list, please reach out to your Account Manager.
-
Once enabled, go to the homepage where you would like to add the applet and select the page options (3 vertical dots in the top-right corner) followed by Edit this homepage.
-
When in edit mode, click on the pencil toolbox icon and find the applet. Drag and drop it onto the homepage where a blue line appears.
-
To set up the applet and categories, hover over it and select the three dots in the top-right corner of the applet.
-
Update the title, icon and the three terms best to suit your organisation. The default term is a Star, however this can be replaced with a Thanks, a Thumbs Up, or a Shout-out. Similarly, the default group term is an Office, which can be updated.
-
The applet comes with a timeline in the left-corner of the applet. To customise this timeline further, you can toggle on Show my business and decide on the Default Timeline Filter. For example, show the user's department, office, region, or recognition they have sent or received.
-
Upload a landing page image that will show as a banner image at the top of the applet. You can be creative with this image, for example adding a thank you or stars. Suggested image size: 314 x 85px
-
If you would like to notify employees by email when they have received recognition, toggle on notify recipient via email. If the email notifications are toggled off, users/groups will still receive a notification in their profile sidebar, or to their mobile phone.
-
Next, define the categories for the applet. Click the Categories tab to switch views and then select Add category. Here you can add the name of the category that employees can be recognised for, and choose an icon and colour to go with it.
-
If you would like to replicate the same categories on another homepage, click the Export Categories button. This will store the categories and their associated colour and icon.
After this, add another Employee Recognition applet to a different homepage and click on the Import Categories button. This will duplicate the saved categories.
- Once the applet is configured, click Close and then Publish the homepage to make the changes live. The applet will appear empty until someone sends recognition - we recommend sending some yourself to get the ball rolling.
Sending recognition
-
Recognition can be sent by clicking on the Send button at the bottom of the applet.
-
Use the search box to find individual people or teams, or choose from the list of people in your department. You can choose from a combination of people and teams, including departments and offices.
-
If multiple people have been selected, provide an optional name for the group.
-
Click Next and select the recognition category from the drop-down.
-
Add an optional note to show with the recognition.
-
Hit Send - you will see a success screen, confirming the recognition has been sent.
- Click Finish to be returned to the recognition applet, where you'll see the sent recognition. If recognition has been sent to more than one person, for example an individual and a team, there will be two sent recognitions in the applet. Use the arrows in the top-right of the applet to carousel through.
Admins: Recognition will be visible to all homepage visitors and will remain visible for 24 days. The duration can be customised through consultancy. To explore this further, please reach out to your Account Manager.
-
After the recognition has been sent, the recipient will receive a notification on their desktop or mobile app. If email notifications have been enabled, the recipient will also receive an email and the option to view the recognition in the intranet where they can react and comment.
Admin top tip: Recognition emails are sent to recipients whether or not they have logged in to the intranet before. This can be a useful way to encourage people to log in and start using the intranet.
-
For an overview of all recognition sent, select the three stacked lines in the top-left corner of the applet. The timeline can be filtered by office, department, region, in addition to sent and received.
Alternatively, there may be a Timeline underneath the recognition applet that you can easily react with and leave comments on. Admins: To achieve this, add a Timeline Applet underneath the applet and configure it to only show recognition.
Analytics
Each user can track the recognition they have sent and received within the applet. There's a reporting icon in the top-right corner, that when clicked shows the recognition they have sent and received.
Recognition will only be counted as received once the recipient has viewed it.
Admins: If you would like to view full reporting of the recognition sent and received, please reach out to your Account Manager.
