Bringing the "For You" feed to your workplace
Moments gives your team a more personal way to connect, whether they’re at their desk or on the move. By adding short-form video to your communication toolkit, you’re driving engagement through a format your employees already know and love.
In this guide, you'll discover how to upload short-form video content as a Moment and where to browse.
This guide covers:
Before you start:
-
You'll need the Area Homepage Manager permission to display Moments on a homepage
You'll need the Content Contributor permission for the area you would like to upload a Moment to
Uploading a Moment
A moment can be any video with a duration of 3 minutes or under. Before you begin, you'll need to have the Content Contributor permission.
-
Firstly, go to the Actions button > Upload. You can also upload your Moment from the Action menu on the Mobile App.
-
From the Upload menu, click Browse to open your file explorer (desktop) or photo library/camera (mobile). If on desktop, simply drag and drop your video(s) within the dotted box.
Reminder: Double check you're uploading to the correct area. To update the upload area, click on the location button after the 'Upload to'. The area picker will open, allowing you to choose a new publish area.
-
The video may take a few moments to process, depending on the quality and size of the video. Once processed, select Next in the bottom left corner.
-
Choose Create as media, followed by Continue. Due to it being uploaded as Media, the Moment will still exist elsewhere in your intranet as a video, meaning it will appear within search results, media pickers, content applets, and the Media Library.
-
Following this, you'll then land on the publication page (also known as the meta-data page). Here you can choose the author of the Moment, schedule the publish date and time, and set review and expiry dates.
-
Underneath the Summary section, ensure Publish as Moment has been toggled on. If your video is 3 minutes or under, the Moments option will be toggled on by default.
Where multiple videos have been uploaded, select/deselect the videos you would like to upload as a Moment.
-
Any videos being published as a Moment will have the Moment label in the top-right corner of the processing video.
-
Where the media is processing, amend the title of the Moment and add an optional description. The description will appear at the bottom of the video when playing.
-
Add video subtitles to play along with the Moment, making it accessible to everyone in your organisation. Select Subtitles to create auto-subtitles or upload your VTT captions file.
-
Select Thumbnail to add an image from the Media Picker that will appear on the video before it starts playing. This image will also be shown in Content Applets and the Media Library.
If the video is the first Moment in the preview, a short snippet will play automatically, encouraging people to click and watch. If you don't add a thumbnail, Oak will automatically select a snippet from the video to use instead.
- Some of the remaining publishing options do not directly apply to the Moment when viewing it within the player. However, your Moment will still exist as a video in the Media Picker, Media Library and Search. Some of these additional options include:
- Enable ratings - toggle them on/off
- Prevent people from downloading the piece of media by ticking the checkbox below the thumbnail and subtitles options
- If you're uploading multiple videos as Moments, it can be useful to apply Batch Tags. If the tag is searched for, the Moment will appear as a video in the search results
- Add to an existing Media Collection or create a new collection. Collections appear in the Media Library and Search
-
Add related content
-
Double check the publish area. As usual, employees will only be able to view the Moments that have been published in the areas where they been assigned the Content Viewer permission.
- Once you're happy with all publish options, select Publish. You'll then be directed to the Media Library where your video may still be in the processing queue. Depending on the file's size and quality, it may takes a few minutes before it falls into the Moments feed.
Note: You'll find there is no edit option when viewing a Moment. If you would like to edit the publish options of a Moment, go to the Media Library (add /media/home to the end of your site's URL) or go to your Contributions found in your profile. Following this, open the video and select the three vertical dots in the top-right corner and click Edit this media.
Adding Moments to a homepage using the Content Applet
Moments live within the Content Applet in both Smart Layout and Feed. To get started, you'll need the Area Homepage Manager permission of the area where you'd like to showcase Moments.
-

-
Click the pencil toolbox and find the applet. Drag and drop it onto the homepage where a blue line appears
- To configure the applet, hover over it and click the three dots in the top-right
-
Go to the Styling tab and choose from two layouts: Smart Layout or Feed.
-
Under the Content tab, you'll be able to add an applet title, icon, and choose the Source from the drop-down. For Moments to show, choose a source: Area, or where applicable Smart Area.
-
To enable Moments, go to the Advanced tab and ensure it has been ticked under Content Types.
Top tip: To remove the content cards and only show Moments, make sure Moments is the only selected content type.

-
Publish your homepage as usual to view the changes.
